Your Responsibilities

The position of the Office Coordinator plays a crucial role in supporting RepRisk’s growth in Germany. Given you are the first point of contact for the team and external stakeholders, this is mostly an office based position in the heart of Kreuzberg in our beautiful offices. This is your scope of work:

  • Representing  and supporting the Berlin team as first point of contact, making sure the day-to-day operations of the team are running smoothly
  • Supporting and assisting the local General Manager, to execute local strategies, streamline workflows, and improve operational efficiency within the office
  • Acting as a point person for maintenance, mailing, shipping, managing local office supplies and utilises, equipment and errands
  • Welcoming visitors, taking care of external communication from customers and clients and directing them to relevant staff 
  • Planning and coordinating internal events (e.g., Summer and Winter parties, Welcome Breakfasts, Lunch & Learns) with an eye for sustainable choices
  • Preparing and monitoring invoices in our dedicated expenses app
  • Nurturing relationship with property management. Coordinating repairs to office equipment and other office procedures as required and in collaboration with IT support when needed
  • Creating internal presentations and coordinating global and local team meetings (e.g. team events, workshops and training)
  • Handling multiple ad-hoc projects (e.g. Admin guides and policies, monitoring office procedures and implementing best practices)
  • Supporting the budgeting process for the local office and keep an overview of the running costs and investments

You Bring

  • 2-3 years of experience in a similar role
  • Experience in a fast-paced, high-growth business 
  • Good German and excellent English skills
  • Strong project management skills, a flair for digital solutions, and the latest productivity tools 
  • Advanced skills in Excel, MS Word, and PowerPoint are essential
  • Experience with MS SharePoint, DocuSign and MS Teams and Miro is an advantage
